What is our
process?
Mentoring is not the same as
some fluffy talking session!
Project management mentoring
is hard work!
It is a structured process with one
sole objective: to GROW your
project management skills and
behaviors.
Our approach is an agile cyclic
approach that is tuned to your
specific needs and that can be
changed along the way.
The number of iterations
depends on your specific
situation, but every cycle consists
of four mentoring sessions.
Our particular view on
project management
mentoring
1. Becoming acqainted (G)
The project management mentor will first
discuss the objectives with your growth
sponsor, often your N+1 or HR-representative.
That in-take session is followed by a focused
and in-depth acquaintance meeting with the
mentoree. It is important to get to know each-
other as a mentoring relationship is based on
mutual trust.
Together, you & the project management
mentor will decide if there is a “click” and if so,
you and the mentor determine your growth
goal(s), based on the sponsor’s input.
2. Project audit (R)
During the acquaintance meeting of step 1,
you and the project management mentor will
identify one to maximum two projects that
will serve as the working basis of the case
based mentoring track.
The project mentor will make use of the
proprietary GAPS project management audit
method to assess the current health of your
project.
This project audit is at the same time, a good
way for the project management mentor to
get acquainted with your project(s) and their
potential opportunities for improvement.
3. Lessons learned (R)
During this 2-hour lasting work session, the
project management mentor will introduce
you to the wonderful world of practical project
lessons learned.
The mentor will learn you how lessons learned
can be easily captured and how they are
typically structured. Together you will build a
lessons learned documenting template that
can be re-used on all your projects.
For the selected projects, the mentor and
yourself will capture the first lessons learned
to get you started as soon as possible.
4. Continuous lessons learned
capturing (R)
This is the first step in the cyclic and repetitive
approach.
Now that you fully understand how lessons
learned are captured, it is the purpose to keep
performing lessons learned on a continuous
basis.
These regular project management reviews
will become an instrument to keep optimizing
your project (management).
5. Re-evaluation of your
growth objectives (G)
As our project management mentoring
approach is inspired by the agile principles,
and as you and the project management
mentor discovered additional opportunities
for improvement due to the project lessons
learned, it seems only to be right to re-
evaluate the agreed growth goals.
As your insight grow, your own insights on
your project(s), and your own skill set and
attitudes might change, leading to new and/or
refined personal growth goals.
6. Definition of mentoring
topics (O)
Now that your growth goal(s) have been (re-
)confirmed and that the project lessons
learned revealed potential areas of
improvement, it is time to define specific
mentoring topics.
The mentoree will choose four topics that
he/she likes to see handled during the
upcoming cycle of four mentoring sessions.
Each topic is described in detail and
formulated as clear mentoring question that
needs to be answered.

7. - 10. Practical oriented
mentoring sessions (O)
Step 7 to 10 are four mentoring sessions where
the four mentoring topics will be handled.
Depending on the kind of mentoring topics,
the priorities and the desires of both yourself
and the project management mentor, all
topics might be handled in all sessions, or one
topic per session will be taken.
Each session will result in some “homework”
that will allow for some practice on the project
itself. Each session will of course start with a
review of that exercising on your project.
11. Worksession “Capturing
the skills & attitude” (W)
After four mentoring sessions, it is time to fix
and capture the obtained knowledge and
skills forever.
In an in-depth discussion the project
management mentor will challenge you on
each of the four mentoring topics.
Both you and the mentor will perform a brief
write-up of the coaching track.
In this work-session, you and the mentor
decide if a new cycle might be beneficial. If
yes, the process will be repeated as from step
4.
In the other case, step 12 will be initiated by
the project management mentor.
12. Mentoring wrap-up
session (W)
A final closure meeting will be organized by
the project management mentor. This closure
meeting will involve you but also your growth
sponsor.
In this meeting the write-ups will be
presented and the achievement of the growth
objectives will be discussed.
